Information we collect

Information you give us. When you make an enquiry, request a quotation, make a booking or sign up to our newsletter, we collect the details you provide. This is typically your name, organisation, email address, telephone number, and the details of the event or stay you are asking about.

Information collected automatically. If you accept analytics cookies, we collect information about how this site is used, including pages visited, approximate location, device and browser type, and how you arrived at the site. This information does not identify you personally.

If you tell us about dietary, accessibility or medical requirements in connection with an event or stay, we use that information only to make the arrangements you have asked for, treat it as confidential, and delete it once the event has taken place.

We do not receive or store your card details. Payments are processed securely by our payment providers, who are not permitted to use your information for any purpose other than processing the payment.

How long we keep your information

We keep personal data only for as long as necessary, in line with the College’s retention schedule.

Who we share your information with

We do not sell your personal data, and we do not share it with other organisations for their own marketing purposes.

We share personal data only with suppliers who help us deliver your event or operate this website, such as our website host, email and newsletter providers and payment processors; with other departments of the College where necessary to deliver your booking; and where we are required to do so by law.

Where your information is stored

Some of our suppliers store data outside the United Kingdom. Where personal data is transferred outside the UK, we rely on UK adequacy regulations, or on appropriate safeguards such as the International Data Transfer Agreement, so that your information continues to be protected to UK standards.

Your rights

You have the right to ask us for a copy of the personal data we hold about you, to have inaccurate data corrected, to ask us to delete data or restrict how we use it, to object to processing carried out on the basis of our legitimate interests, and to ask for your data in a portable form. Where we rely on your consent, you can withdraw it at any time.
